2Send it by WhatsApp or email. The other party opens the link on their phone without an account.

Before signing, each signer agrees to sign electronically. The screen links to the electronic signature disclosure the ESIGN Act asks for.
The bill of sale can be signed online. The certificate of title is a separate state document. If your state still uses a paper title, the seller signs it by hand and hands it to the buyer.
Your first ten documents are free and need no card.
A bill of sale is evidence of a transfer of personal property. For goods, each state’s version of Article 2 of the Uniform Commercial Code fills in the rules on title and warranties when the document is silent.
For vehicles, boats and some trailers, the state title is what proves ownership. The bill of sale supports the title transfer and shows the price for tax. Some states ask for their own bill of sale form or a notarized one.
The ESIGN Act gives electronic signatures the same legal effect as ink.
Equipment, furniture and other goods: this general form
The vehicle versions add the VIN, the odometer reading and the title details that motor vehicle agencies ask for.
How to fill in a bill of sale
1Write both full legal names and addresses.
2Describe the item so nobody can confuse it with another. Serial numbers are best.
3State the exact price and how it was paid.
4Say whether it is sold as is or with a warranty.
5Both parties sign, and each keeps the signed copy.
Why a bill of sale matters
For the buyer, it proves they own what they paid for. For the seller, it proves the item is no longer theirs, which matters if it is later damaged or used in an accident.
It also records the price. Tax offices and motor vehicle agencies use it to charge the right sales tax.
A worked example
Rachel sells her compact tractor to Omar for 14,500 USD. She fills in the serial number, the loader and the as-is condition.
Omar pays with a cashier’s check and signs from his phone in the parking lot. Rachel signs too, and both receive the PDF with its certificate before Omar drives away.
Mistakes to avoid
A vague description. “Blue tractor” proves little. Use the serial number.
No lien check. Buyers should confirm there is no loan on the item.
Only the seller signs. Both signatures make the document stronger.
A false price. Writing a lower price to cut tax is fraud.
Selling to someone in another state
When the buyer lives in another state, they register the item there. Their state decides what documents it needs. Ask the buyer to check before you meet.
A clear bill of sale with both addresses, the serial number or VIN and the price helps in any state. Both of you keep the signed PDF.
Keeping the records
Keep the signed bill of sale for several years. It answers questions about taxes, accidents or ownership that can come up long after the sale.
SignSolú keeps it in your account with its certificate. You can download it any time or check it at /verificar.
Gifts and family transfers
Moving a vehicle or item between relatives is still a transfer. Use the gift option in clause 2. Many states charge less or no tax on family gifts, but they still ask for proof.
Sample descriptions that hold up
Equipment: “2019 Kubota BX2380 compact tractor, serial 12345, with LA344 front loader and 60-inch mower deck.”
Furniture: “Walnut dining table, 72 by 40 inches, with six matching chairs, made by Stickley in 2015.”
Electronics: “Apple MacBook Pro 14-inch, 2023, serial C02XYZ, with charger and original box.”
Animal: “Bay quarter horse gelding named Dusty, foaled 2016, registration number 1234567.”
Each one names the item, a unique number when there is one and what comes with it.
A precise description protects both sides if the item is ever lost, stolen or resold.
If the buyer pays in cash, count it together and write the amount in clause 2. Give a separate signed receipt if the buyer asks for one.
Yes, in most states, if it names the buyer and the seller, describes the item, states the price and the date, and both people sign it. A typed template is easier to read and keeps you from leaving a field out. Some states ask for their own form for vehicles.
Is a bill of sale signed online legally binding?
Yes. The ESIGN Act gives an electronic signature the same legal effect as a handwritten one. The signed PDF and its certificate show who signed the bill of sale, when and from which device.
Does the buyer need a SignSolú account to sign?
No. They open the link on their phone and sign with the brown bar at the bottom of the screen.
Can I download the bill of sale in Word?
Yes. “Download in Word” gives you the full bill of sale with no email and no account. You can print it or edit it and sign it here later.
Does a bill of sale need to be notarized?
Usually not. A few states ask for notarized bills of sale for vehicles or boats. Check your state’s motor vehicle agency.
Is a bill of sale proof of ownership?
It proves the sale. For titled items like cars and boats, the state title is the main proof of ownership.
Can I use a bill of sale for a gift?
Yes. Choose the gift option in clause 2 and write a price of zero.
Who keeps the original bill of sale?
Both parties. With an online signature there is no single original. Each side keeps the same signed PDF.
