What contract lifecycle management means

Contract lifecycle management, or CLM, is the set of steps every contract goes through. The usual stages are request, drafting, negotiation, approval, signature, storage, obligations and renewal.

Large legal departments buy CLM suites that cover each stage in depth. Most small and mid companies spend their time in four of them. They draft from a template, get it signed, file it and remember when it ends.

The stages SignSolú covers

Contract stageWhat SignSolú does
CreateTemplates with fields, written contracts ready to fill, your own PDF or Word files
SendDelivery by WhatsApp or email to each signer
SignDrawn signature from any phone, no account for the signer
CollectExtra files requested from each signer, such as an ID
StoreCentral storage for the whole organization
TrackStart and end dates, renewal notice before the end, reminders to signers
ProveAudit certificate, IP address and file hash

SignSolú does not run redlining between lawyers or multi-step approval chains. Teams that negotiate in Word send the final version to sign in SignSolú.

Templates that keep contracts consistent

Every company has a handful of contracts it sends again and again. A lease, an NDA, a service agreement, an offer letter.

In SignSolú each one becomes a template with fields. The sender fills the name, the amount and the dates. The clauses stay the same, so nobody edits what legal approved.

Signing that does not slow the cycle

The longest stage of a small contract is often the wait for a signature. SignSolú sends the link by WhatsApp or email and the signer signs on the phone.

The signer taps the brown bar at the bottom that says «Sign as …», draws once and presses «Sign and Send». SignSolú reminds anyone who has not signed.

Renewal dates you will not miss

Save the start date, the end date and how many days before the end you want a notice. The default is 30 days. SignSolú sends the notice so the team can renew, renegotiate or let it end.

Missed renewals are the most common cost of a poor contract process. A lease rolls over at the old rent. A vendor contract auto-renews for a year nobody wanted.

One archive with proof

Every signed contract stays in one place for the organization. Each file carries its audit certificate with the signers, the times, the IP addresses and a SHA-256 hash.

If anyone questions a contract later, the evidence is inside the PDF. Anyone can check the file at signsolu.com/verificar.

When a team is ready for CLM

  • Contracts live in email threads and shared drives.
  • Nobody knows which version the customer signed.
  • Renewals are found after the date has passed.
  • Sales or HR waits days for a signature on paper.
  • Each department keeps its own copy of the same template.

If two of those sound familiar, a light CLM setup pays for itself in the first month. It takes an afternoon to load the templates you already use.

What CLM looks like in a team of ten

Sales sends service agreements from one template. HR sends offer letters and NDAs from two more. Operations uploads vendor contracts as they arrive.

Every signed file lands in the same archive with its dates. The owner gets the renewal notices and decides what to renew.

Nobody waits for a license to be assigned. A new hire gets access on the first day at no extra cost.

Contracts in English and Spanish

Teams that sell or hire in two languages keep both versions of each template. SignSolú sends each one in the language of the signer.

Questions to ask before buying CLM software

  1. 1Which stages do we really use every week?
  2. 2How many people send contracts, and how many only sign?
  3. 3Do we negotiate in the tool or in Word?
  4. 4Who needs the renewal notices?
  5. 5What does it cost when we add ten more users?

Teams that negotiate in Word and need signing, storage and renewals get the most from SignSolú. The price stays the same as the team grows.

What the audit certificate shows

Every document signed in SignSolú ends with a certificate page. It turns a drawn signature into evidence you can show a bank, a court or the other party.

  • The name of the sender and of each signer.
  • The phone number or email where each link went.
  • The date and time of each step, from sending to the last signature.
  • The IP address each signer used.
  • The SHA-256 hash of the signed file.

The hash works like a fingerprint. Change one comma in the PDF and the fingerprint no longer matches the one on the certificate.

What the signer sees on a phone

The signer opens the link and sees the document at full width. They scroll and read it like any page on the web.

A brown bar stays at the bottom of the screen with the words «Sign as» and their name. One tap opens a box to draw the signature.

They draw once with a finger and press «Sign and Send». SignSolú places that signature in every spot the document needs. Then it shows a confirmation and sends the signed copy when everyone is done.
