How to add a digital signature in Word

Based on the ESIGN Act (15 U.S.C. 7001) · Reviewed in October 2026

There are three ways to put a digital signature in Word. Insert a signature line and sign it with a digital ID. Paste an image of your drawn signature. Or save the document as PDF and sign it in a browser. The PDF route keeps the layout fixed and adds a certificate with a fingerprint of the file.

Three ways to sign a Word document

MethodWhat you needWhat the other party sees
Signature line with a digital IDWord for desktop and a certificate from a certificate authorityA signed file that warns if anyone edits it
Image of a drawn signatureA photo or PNG of your signatureYour signature on the page, with no record of who placed it
Save as PDF and signWord and a browserA fixed PDF with your drawn signature and a certificate page

Pick the method by what the receiver needs. A contract with a client rarely needs a digital ID.

How to insert a signature line in Word

Word for desktop includes a signature line. It marks the spot where a signer must sign.

  1. 1Click where the signature goes in your document.
  2. 2Open the Insert tab and choose Add a Signature Line in the Text group.
  3. 3Fill in the name and title of the signer.
  4. 4Confirm with OK. Word draws the line with an X.
  5. 5Save the file and send it to the signer.

The signer double-clicks the line to sign. Word then asks for a digital ID installed on that computer.

A digital ID comes from a certificate authority. Without one, the line stays empty for most users.

How to digitally sign a Word document with a certificate

A certificate signature seals the whole file. Word marks it as final and flags any later edit.

  1. 1Buy a digital ID from a certificate authority.
  2. 2Install it on the computer where you sign.
  3. 3Open the file and double-click the signature line.
  4. 4Draw or select your signature image if Word asks for one.
  5. 5Choose the certificate and confirm with your PIN.
  6. 6Save the signed document and send it as is.

The receiver opens it in Word to see the signature status. Opening it in another app may hide that status.

How to put a drawn signature in Word

Many people only want their handwritten signature on the page. That takes an image file.

  1. 1Draw your signature in the free signature maker.
  2. 2Download it as a PNG with a transparent background.
  3. 3In Word, open Insert, choose Pictures and pick the PNG.
  4. 4Resize it and set the text wrap so it sits on the line.
  5. 5Write your name and the date under it.

This works for letters and short forms. The image alone does not record who placed it or when.

Anyone with the file can also copy the image. Use it in letters, not in contracts that may be disputed.

How to esign a Word document as a PDF

Saving to PDF fixes the layout. Fonts, margins and page breaks stay the same on every device.

  1. 1In Word, choose File and Save As, then pick PDF.
  2. 2Drop the PDF into the free signer at the top of this page.
  3. 3Tap «Draw my signature» and sign with your finger, mouse or pen.
  4. 4Tap the spot on the page where it goes.
  5. 5Add the date with the date button.
  6. 6Download the signed PDF. On a phone, use the brown bar at the bottom.

The box «Add signature certificate» comes checked. It adds a page with your name, the date and the SHA-256 fingerprint of the original.

Anyone can later check that the original did not change. They use the free verification tool.

How to sign a Word document on your phone

Word on a phone can open and edit a document. Signing it there is harder than on a computer.

  1. 1Open the document in Word on your phone.
  2. 2Use the share or export option to save a PDF copy.
  3. 3Open this page in your phone browser.
  4. 4Drop the PDF and draw your signature with your finger.
  5. 5Tap the spot where it goes and add the date.
  6. 6Tap the brown bar at the bottom that says «Download signed PDF».

The signed PDF lands in your downloads. Share it by WhatsApp or email from there. Keep the Word draft in case you need another version.

Choose the signature line when the receiver names a certificate. Choose the drawn signature for everyday contracts and forms.

Tips before you sign a Word document

  • Accept or reject tracked changes. A signed file should not carry open edits.
  • Remove comments. Notes in the margin can end up in the PDF.
  • Check the page count. Make sure nothing spills onto a blank last page.
  • Leave room for the signature. Add two or three empty lines above the name.
  • Name the file clearly. Use the parties and the date in the file name.

Why sign the PDF and not the Word file

  • The text cannot shift. A Word file can reflow on another computer and move the signature.
  • Anyone can open it. Every phone and computer reads PDF without extra software.
  • The file can be checked. The certificate page holds a fingerprint of the original.
  • The other party signs from a phone. No desktop app or digital ID is needed.

Keep the Word file as your draft. Send the signed PDF as the final version. Store both in the same folder with matching names.

When someone sends you a Word file to sign

Read the whole document before you sign it. Word files are easy to edit after you send them back.

  1. 1Ask the sender whether a PDF copy is fine.
  2. 2Save the file as PDF so the text cannot move.
  3. 3Sign the PDF with the free tool and keep the certificate page.
  4. 4Send back the signed PDF together with the original.

The sender can then check the fingerprint against the original. Both of you keep the same record.

Your file never leaves your device

The free tool signs the PDF inside your browser. Nothing goes to a server.

Your drawn signature stays saved on this device for next time. Erase it any time with «Forget my data on this device».

Is an electronic signature in Word legally valid?

Yes, in most cases. The ESIGN Act says a contract cannot lose effect only because it was signed electronically.

The law cares about intent and the record. A signature line, an image or a drawn signature can all show intent.

Proof is the hard part. A signed PDF with a certificate page gives you a record of the file you signed.

Some records still need ink or a notary. Our guide to wet signatures lists them.

When someone else has to sign

Send the PDF from a free SignSolú account. The other person gets a link by WhatsApp or email. They open it on their phone and tap the brown bar that says «Sign as …». You get the signed PDF back with a certificate that SignSolú timestamps. Your first ten documents are free.

Signing Word files on a shared computer

A drawn signature saved in the browser stays on that computer. Use «Forget my data on this device» before you leave a shared desk.

A signature line in Word with a digital ID stays tied to that ID. Remove the ID from the shared computer when you finish.

Office laptops often block new certificates. Ask your IT team before you install one.

Can I sign a Word document without a digital ID?

Yes. Save it as PDF and sign it with the free tool, or paste an image of your drawn signature.

What is an invisible digital signature in Word?

Can I type my signature instead of drawing it?

No. The SignSolú tool asks you to draw it, the same way you sign your ID.

Is a pasted image a legal signature?

It can be. Intent to sign is what counts. An image alone leaves weak proof of who placed it.

Can two people sign the same Word file?

Yes. Send it as a PDF from a SignSolú account and each signer gets a link on the phone.

What time does the free certificate show?

The time on your device. The free tool uses your device's time. For a time set by SignSolú and online checking, send it from an account.

Can I sign a Word document for free?

Can I add my initials to each page?

Yes. After saving to PDF, use the initials button and tap the pages where they go.

Does the signed PDF keep my Word formatting?

Yes. Saving as PDF keeps fonts, tables and page breaks exactly as you see them in Word.

Can I edit the document after signing?

No. Any edit after signing breaks the seal or the fingerprint. Make changes first and sign last.
