What the law says

Cleaning contracts follow state contract law. A written contract with a checklist is the industry standard.

Cleaning companies are responsible for their own workers. Labor law treats workers by the facts, so the company should control the work and pay wages and taxes.

Some cities and states require a business license or registration for cleaning companies. Check with your city before signing large accounts.

The ESIGN Act, 15 U.S.C. 7001 gives an electronic signature the same legal effect as one on paper. A contract cannot be denied effect only because it was signed electronically.

Why the cleaning checklist matters

Complaints in commercial cleaning come from different expectations. The client imagines one thing and the crew does another.

Exhibit A lists every task and how often it is done. Both sides read the same list.

Walk the premises with the client before signing. Note the special areas, like a server room or a medical exam room.

How to price a commercial cleaning contract

Most companies price by square foot or by labor hours. Count the hours each visit takes and multiply by your hourly rate.

Add supplies, travel and periodic tasks. Then divide by twelve for a fixed monthly price.

Quote periodic work separately if the client is price sensitive. Carpet cleaning and floor waxing are easy add-ons.

Types of commercial cleaning contracts

  • Offices with nightly cleaning after business hours.
  • Medical and dental clinics with stricter disinfection rules.
  • Retail stores cleaned before opening.
  • Restaurants with kitchen degreasing and hood cleaning.
  • Warehouses and gyms with large floors and locker rooms.

Common mistakes

No key log. Track who has each key or card. Lost keys without a record mean rekeying the whole office.

Leaving out supplies. Paper towels and soap add up. Say who pays in clause 4.

No quality process. Without a way to report issues, small problems become cancellations.

Long notice periods. Clients hesitate to sign a contract they cannot leave. Thirty days builds trust.

Starting a new account smoothly

  1. 1Walk the premises with the client and agree on the checklist.
  2. 2Sign the agreement and collect keys, cards and alarm codes.
  3. 3Do a first deep clean so the regular schedule starts from a clean baseline.
  4. 4Check in after the first two weeks and adjust the checklist.

Write down every adjustment and add it to Exhibit A. A current checklist keeps new crew members on the same page.
