4Everyone gets the signed PDF with its signature certificate. Anyone can check it at signsolu.com/verificar.
Signing online is enough between buyer and seller. When an office or a lender asks for a notarized deed, print it and sign it before a notary with your IDs.
Your first ten documents are free and need no card.
The Electronic Commerce Act (Republic Act 8792) gives electronic documents and electronic signatures legal recognition in the Philippines. A deed of sale signed electronically binds the buyer and the seller.
A deed of sale used to transfer registration with the Land Transportation Office (LTO) must be notarized. Under the notarial rules, the seller and the buyer appear before a notary public with valid IDs. Print the filled-in deed and sign it there for the LTO copy. The LTO counts its transfer deadline from the date the deed is signed and charges a fee for late transfers, so file soon after the sale.
Sales of personal property follow the Civil Code. Ownership passes on delivery of the vehicle, and the deed records the price, the date and the condition.
Equipment, appliances, gadgets and livestock: this sample
Land, houses and condominium units use a deed of absolute sale of real property. It needs notarization, payment of taxes to the BIR and registration with the Registry of Deeds. That process is outside this sample.
Absolute sale or conditional sale
In an absolute sale, ownership passes once the deed is signed and the property delivered. In a conditional sale, ownership passes only when a condition is met, usually full payment.
If the buyer pays in installments, write a deed of conditional sale or keep a separate payment agreement. This sample is for full payment.
How to fill in the sample
1Write the full names, civil status and addresses as they appear on valid IDs.
2Describe the property with brand, model and serial numbers.
3Write the price in words and in figures.
4Write when and where the property was delivered.
5Sign online, then before a notary if an office will ask for it.
A worked example
Elena sells two generator sets from her late husband’s business to Joel for ₱90,000. Joel inspects them and pays by bank transfer.
Both sign the deed online the same day. Joel picks up the generators the next morning, and each keeps the signed PDF.
Mistakes to avoid
Price only in figures. Writing it in words too avoids disputes about the amount.
No serial numbers. A vague description makes the deed weak proof.
Missing civil status. Married sellers may need the spouse’s consent for conjugal property.
Selling property owned by a business
If the seller is a company, an officer signs for it. Add the officer’s name and position under the signature and attach the board resolution or secretary’s certificate that authorizes the sale.
Keeping your copy
Each party keeps the signed PDF with its certificate. Store the notarized print, if any, with the receipts and warranty cards of the property. They help if the property is lost, stolen or resold.
Livestock and farm equipment
For carabaos, cattle and other large animals, describe each one by color, markings and age. Local offices may ask for a certificate of transfer of large cattle, so check with the municipal agriculture office.
Checklist before you sign
1The vendor’s name matches their ID.
2The serial numbers match the property.
3The price is written in words and figures.
4The delivery date and place are filled in.
5Two witnesses are ready if you will notarize.
Then sign online and, if needed, print the deed for the notary.
Signing with a buyer in another province
Distance is not a problem for the agreement itself. Send the link by Viber, WhatsApp or email, and the buyer signs from a phone. If a notarized copy is needed later, each party can appear before a notary in their own city with a printed counterpart.
Each party then keeps the same signed PDF with its certificate.
